Retreat visit measurement
We use a random identifier held in this browser tab to count retreat visits and measure whether a visit leads to an enquiry. We do not store your IP address in this measurement. It is not used for advertising. Do Not Track browsers and signed-in administrator visits are excluded. Enquiry and booking information is used for aggregated business reporting; guest contact details are not sent to the reporting AI.
Information we collect
Women Who Golf collects each guest’s name, email and phone number, booking details, payment status and correspondence. If support information is needed, we will explain why and obtain any consent required for sensitive information.
How we use information
We use information to administer bookings, arrange retreat services, issue invoices, communicate changes, provide support and meet legal obligations. Booking communications are separate from marketing. Where required, we request separate marketing consent, and you can unsubscribe from promotional messages.
Payments and providers
Stripe processes payments and handles full card details. WWG receives information needed to reconcile payments and manage bookings. Cloudflare provides website, enquiry and booking storage services; SMTP2GO delivers booking notification emails. If you choose to book a call, TidyCal handles your appointment details under its own privacy policy. We share relevant information with hotels, transport operators, golf courses and other providers only as needed to organise your retreat or meet legal obligations.
International processing
Retreat services may require information to be shared in your destination country, including Mexico for the Riviera Maya retreat. Our website, payment and communications providers may process information in the United States and other countries where they operate. We take reasonable steps to protect information shared with service providers and comply with applicable transfer requirements.
Other guests and photographs
We will ask before sharing your contact details with other guests or adding you to a messaging group that exposes your phone number. We seek separate permission for identifiable guest photographs or testimonials used in promotions. Accepting booking terms does not grant promotional image consent.
Security and retention
We use reasonable safeguards and limit access to people who need information for their role. We retain records for legitimate booking, accounting, legal and operational purposes. The appropriate period depends on the service, applicable recordkeeping requirements and unresolved disputes. Records should be securely deleted or de-identified when no longer needed.
