Retreat booking terms

Who you are booking with

Your booking is with Women Who Golf (WWG), registered in Wyoming, USA. These terms apply alongside the retreat description and your booking confirmation. Questions and cancellation requests should be submitted through the Contact form.

Your booking and deposit

Prices are in US dollars (USD). A deposit of 20% of the applicable retreat price, rounded up to the next whole dollar per guest, secures each named guest’s place once payment succeeds and WWG issues a booking confirmation. The deposit counts toward the total retreat price. The confirmation records your price, deposit and remaining balance. Early booking discounts require payment before the advertised deadline. If we cannot accept your booking, we will refund your payment.

Non-refundable deposits

If you cancel, your deposit is non-refundable, except where the retreat does not go ahead or applicable law requires a refund. This applies separately to every guest in a group booking. One guest’s deposit is not refundable simply because the others still attend. Subject to your legal rights, this includes cancellation because of illness, personal circumstances, transport disruption or events beyond your control. Insurance may provide protection, depending on your policy.

Booking for other guests

Provide an accurate name, email and phone number for every guest, with their permission. Share these terms and retreat details with each guest and obtain their authority to book. The same cancellation and payment rules apply to every guest, including the person paying. We may contact guests directly about their participation. Providing another guest’s details does not subscribe them to marketing.

Remaining balance

The remaining balance is due no later than 15 days before the retreat starts. WWG will issue a separate manual invoice and will not automatically charge your card for the balance. If payment is overdue, we will contact you and provide written notice and a reasonable opportunity to pay before cancelling the affected place.

If a guest cancels, all amounts paid, including the deposit and remaining balance, are non-refundable. This applies to each guest separately. Refunds still apply if WWG cancels the retreat or applicable law requires them.

Cancelling your booking

Bookings are non-transferable. You cannot transfer a place to another person or substitute a different guest. Submit cancellation requests through the Contact form, identifying the retreat and affected guests. Cancellation takes effect when we receive your request.

If the retreat does not go ahead

If WWG cancels the retreat, including because of insufficient bookings or events beyond our control, we will refund your deposit and any other retreat payments made to WWG. If different dates are proposed, you may accept them or choose a refund; you are not required to accept a credit. Unless applicable law requires otherwise, this does not cover flights, insurance or arrangements you purchased independently.

Changes and events beyond our control

Weather, course closures, supplier issues, natural disasters, government restrictions and similar events may require itinerary changes. We will communicate significant changes promptly and provide a comparable alternative where reasonably possible. Minor itinerary changes do not mean the entire retreat is cancelled. If a change materially alters the retreat, we will explain your options and applicable refund rights. Nothing overrides our cancellation promise or your legal rights.

Travel insurance and independent travel

We strongly recommend suitable travel insurance when you book. Consider cancellation, medical treatment, emergency evacuation, travel disruption, golf activities and equipment. Check exclusions, limits, existing medical conditions and known events. WWG cannot guarantee that an insurer will accept a claim. You are responsible for passports, visas, entry requirements and independent travel. Check the retreat’s confirmed status before buying non-refundable travel.

Inclusions, participation and conduct

Your retreat description and booking confirmation explain inclusions. Flights, insurance, personal purchases and optional extras are excluded unless expressly included. Guests must be 18 or over, participate within their capabilities and follow reasonable safety instructions. Tell us about dietary, accessibility or support needs before booking where possible. Respectful behaviour is required. Serious harassment, dangerous behaviour or repeated failure to follow reasonable safety instructions may result in removal from an activity or the retreat. Refund consequences will be assessed fairly and subject to applicable law.

Your rights and concerns

Nothing excludes consumer rights, remedies or responsibilities that cannot lawfully be excluded. These terms do not create a blanket waiver of negligence or failure to provide contracted services. Raise concerns promptly with your host, or use the Contact form. The business is registered in Wyoming, USA; any mandatory protections and rights applicable to your booking remain unaffected.
